Step 5: The claims page

You have now opened the claim page and there are various items to add to complete the form, just work through the required fields.

  1. Add the start date (can be amended)
  1. Add the learner (you may need to add the new learner if they are not registered) you will need their national insurance number  
  1. Payment date (this must match the date on the evidence you are submitting) 
  1. Upload evidence of payment* (you can upload up to 4 evidence items as required) 
  1. Add the completion date (this must match the date on certificate that was issued) 
  1. Upload evidence of completion**  
  1. If you haven’t got the evidence to hand you can save and come back to the claim as required 
  1. Once you are happy all of the fields are entered, click confirm details 
  1. The Declaration will then appear, check the box then submit the claim 
  1. Once submitted claims are processed in 2-6 weeks (you can access submitted claims from the top menu and view them) 
  1. Once claims are approved, payment is made within 10 working days but allow 2-6 weeks for processing. 

If your application is rejected 

  1. You receive an email from the team notifying you of the rejection. 
  1. You can access it in the top menu in the Rejected Claims area 
  1. Go into the claim and there will be a note which will advise why your claim was rejected 
  1. You should then be able to make the required changes and resubmit 

*Claim evidence requirements  

  • Course or qualification name  
  • Training provider The Root Of It 
  • Amount paid 
  • Date of payment  
  • VAT number (if they’re not exempt) 

We will provide you with a remittance which acts as a receipt of payment which will meet of all the required fields for evidence. 

(Please note proof of payment should include the name of the organisation that made the payment and the name of the organisation that received). 

You can have multiple learners and bookings on one invoice/remittance, you do not need a separate one for each. However, you must include a cover letter submitted with your evidence to explain this. 

You can upload up to 4 separate documents if a single document doesn’t have all the necessary information 

Acceptable evidence includes: 

  • Receipt 
  • Invoice (not on it’s own if it doesn’t show proof of payment) 
  • Receipted invoice (must show payment has been paid) 
  • Bank statement (a bank statement by itself will not be sufficient as it will not provide all of the evidence required) 

**Evidence of completion must include 

  • Date of completion  
  • Course or qualification name  
  • Learner name  
  • Training provider or learning centre  
  • Awarding body 

Acceptable evidence includes  

  • Certificate of completion 

SUBMIT ONE OR TWO CLAIMS FIRST TO CHECK YOU HAVE IT RIGHT (THAT WAY IF THEY ARE REJECTED YOU CAN CORRECT YOUR MISTAKES USING THE FEEDBACK)
